What to include on a photography estimate: your studio name and contact information, the client's name and event or session details (date, location, type), a unique estimate number and date, line items for every deliverable (edited images, gallery access, prints, albums, commercial licensing), your session or package fee, retainer amount to secure the date, delivery timeline, usage rights or licensing terms if commercial, and cancellation and rescheduling policy. Retainer deposit: a booking retainer — typically 25–50% of the session fee — confirms the date and protects your calendar from last-minute cancellations. Send a deposit invoice immediately after the estimate is approved. Delivery timeline: state clearly when the final images will be delivered (for example, 4 weeks for portrait sessions, 6–8 weeks for weddings). Managing expectations upfront prevents client frustration during the editing process. Eligible invoices can be paid online by card when you connect your Square account, or you can record payment manually.
